Key Responsibilities(Because "Executive Assistant" doesn’t quite cover it…)
Executive Support & Coordination
*Manage the Managing Director’s diary, inbox, and travel — anticipating needs before they arise
*Prepare reports, presentations, and briefing notes with polish and precision
*Handle confidential matters with complete discretion
*Keep meetings running like clockwork — agendas, minutes, follow-ups, and gentle nudges where needed
Operations & Office Magic
*Oversee day-to-day office operations — from ordering supplies to arranging maintenance
*Be the first point of contact for staff and visitors — the friendly face of the company
*Coordinate internal projects, track progress, and chase deliverables
*Manage invoices, expenses, and vendor relationships with an eye for efficiency
*Keep systems and processes tidy and up-to-date (no loose ends on your watch!)
Culture & Team Support
*Plan team socials, birthday surprises, and morale-boosting moments
*Organise company events and meetings — from board lunches to away days
*Support onboarding for new starters and help everyone feel at home
*Champion the company’s values and help nurture its culture
Personal & Ad Hoc Support
*Assist the leadership team with personal tasks when required — from gift sourcing to travel bookings
*Step in wherever you’re needed: HR admin, social media scheduling, supplier chasing, or last-minute problem-solving
*Keep an eye on everything — and quietly fix the things no one else even noticed
Skills & Experience*Previous experience as an Executive Assistant, Office Manager, or Operations Coordinator (SME experience ideal)
*Exceptional organisation and communication skills — calm under pressure, solutions-focused
*Tech-savvy: confident using MS Office, Google Workspace, project tools (Asana, Notion, etc.)
*A "can-do" attitude with a genuine love for helping others
*Adaptable, discreet, and always one step ahead
