Job Description:
The Bids and Tenders Assistant will play a key role in supporting the preparation, coordination, and submission of bids and tenders, while also providing essential sales support to the business development team. This position ensures compliance with client requirements, maintains accurate documentation, and contributes to the overall success of securing new business opportunities.
Key Responsibilities:
Bids & Tenders Support
*Assist in the preparation and submission of bids, tenders, and proposals in line with client specifications and deadlines.
*Coordinate with internal stakeholders to gather necessary information, pricing, and technical details.
*Maintain and update bid documentation, templates, and standard responses.
*Track tender portals and identify new opportunities for the business.
*Ensure all submissions comply with company standards and client requirements.
Sales Support
*Provide administrative support to the sales team, including preparing presentations, reports, and client documentation.
*Maintain CRM systems with accurate and up-to-date client and opportunity information.
*Assist in scheduling meetings, managing calendars, and coordinating follow-ups with prospects.
*Support marketing activities related to bids and proposals, such as case studies and capability statements.
General Duties
*Monitor deadlines and ensure timely delivery of all submissions.
*Maintain confidentiality and professionalism in handling sensitive information.
*Contribute to continuous improvement of bid processes and sales support functions.
Skills & Experience Required
*Strong attention to detail and ability to work under pressure to meet deadlines.
*Excellent written and verbal communication skills.
*Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
*Experience with CRM systems and tender portals (desirable).
*Ability to manage multiple tasks and prioritize effectively.
*Previous experience in bids/tenders or sales support roles (preferred).
