Job Description:
We are a Salford based family run business with a strong focus on the communities we serve and operate within.
We deliver a range of social care related services across the North West of England primarily through our residential care home business which we started almost 35 years ago.
We have six operational care homes with a seventh acquired and being redeveloped. We also own and operate residential properties and office buildings and are working on plans to expand further.
We are on an exciting journey - developing and delivering transformational change across our businesses to ensure we are ’Fit for the Future’ and as we move to a Unity Group structure.
We are investing more in our people, strengthening our support teams to support growth and this includes the introduction of this new and exciting role.
Are you an experienced Personal Assistant looking to make a meaningful difference in a growing, purpose-led organisation?
We are looking for someone with proven experience as a PA or EA at Director/Board level who can positively communicate across all business areas.
You will be the first point of contact for a range of external and internal stakeholders and be confident in dealing with a range of demands whilst maintaining a positive and helpful approach.
You will need to be exceptionally organised, comfortable managing office operations as well as proficient in Microsoft Office and a willingness to learn about the bespoke software we use.
You must be confident managing sensitive data as well as being discreet, proactive and able to provide a solutions-focused approach.
Previous applicants need not apply.
Duties and responsibilities
Key duties and responsibilities included providing direct support to the Operations Director and Leadership Team through exceptional organisational skills, discretion, and the ability to manage a varied and fast-paced workload.
You will be required to optimise the Operations Director’s time, ensuring communications and priorities are managed efficiently, and providing a high standard of administrative support.
You will act as the first point of contact for the Leadership Team, handling enquiries with professionalism and confidentiality.
You will undertake general office management duties at Unity House, helping to ensure the smooth running of our support functions environment.
You will provide comprehensive diary and inbox management for the Director, ensuring meetings, appointments, and priorities are effectively scheduled and communicated.
We need you to coordinate meetings including agenda preparation, documentation collation, minute-taking, and follow-up of actions as well as assisting with the preparation of reports, presentations and high-level correspondence.
You will arrange travel, accommodation, and itineraries for the Operations Director and Leadership Team as well as visiting stakeholders.
Additionally you will need to support the Operations Director and Leadership Team with project administration and the coordination of business-critical activities.
We need you to be confident in handling sensitive legal and regulatory correspondence with discretion and attention to detail.
There are also general office management duties that include the oversight of reception, supplies, facilities and meeting room management.
There will also be the need to liaise with contractors and service providers for building maintenance, office cleaning, IT support and utilities, reporting issues and overseeing resolution where appropriate.
You will maintain office supplies and equipment, ensuring stock levels are managed and replenished as required as well as supporting any onboarding arrangements for new starters at Unity House, including desk preparation and welcome materials.
You will have a role to play in supporting health and safety requirements within the office.
Experience and qualifications
You should have significant experience as a Personal Assistant or Executive Assistant supporting Director or Board-level leadership.
You will have a proven track record in diary management, meeting coordination and handling confidential information together with strong organisational and administrative skills.
It is essential that you can demonstrate the ability to manage multiple tasks and deadlines effectively with a high level of IT proficiency.
Excellent written and verbal communication skills form the basis of this role along with experience managing or supporting general office operations, facilities or front-of-house functions.
Your ability to work with discretion, tact and diplomacy in a fast-paced and sensitive environment is key as well as demonstrating your ability to work independently, exercising judgement and always maintaining confidentiality.
Whilst not essential if you have experience working within health and social care this would be beneficial, along with familiarity with governance and compliance procedures (e.g. preparing board packs, minute-taking, data protection).
If you have knowledge of basic health and safety responsibilities within an office environment and a relevant business administration qualification (e.g. NVQ Level 3+, ILM Certificate, or equivalent) this would be desirable.
Experience in first aid or fire marshal training would also be desirable.
Company culture
In an industry such as social care, change is inevitable and it can also be challenging.
With a positive track record of growth over 35 years we are a committed to our communities and our businesses and are evolving even now as we grow.
We have a positive outlook, we are dynamic and are embracing change so we can grow with it rather than standing still.
We are a family, we are growing a solid support team around us that we trust and so we seek to grow together, with many of our colleagues having been internally promoted.
We are open and are always keen to hear from our teams about how we can evolved further.
