Job Description:
Accounts and Administration Assistant
*Annual Salary: 28k FTE
*Location: Southampton/Eastleigh
*Job Type: 30 hours per week, 4 days a week - Negotiable to Full-Time for the right candidate
We are seeking an Accounts and Administration Assistant to provide essential financial and administrative support within our Finance and Operations department. This role is crucial for the smooth operation of the finance department and the wider organisation, involving tasks such as processing expenses and invoices, handling bank and credit card transactions and reconciliations, and managing day-to-day administrative duties.
Day-to-day of the role:
Finance Support:
*Expense Management: Process and reconcile employee expenses in compliance with company policies.
*Reconciliations: Manage bank and company credit card reconciliations, addressing any discrepancies.
*Invoice Processing: Ensure timely processing and posting of purchase invoices into the accounting system.
*Month-end Support: Assist the Financial and Operations Controller with month-end tasks including accruals, reconciliations, and reporting.
*Record Maintenance: Help maintain accurate and up-to-date financial records.
*Audit Preparation: Assist in preparing financial documentation for audit reviews.
*Ad Hoc Support: Provide additional support to the Financial and Operations Controller as needed.
Administration Support:
*Supply Management: Order and manage office supplies, ensuring efficient receipt, distribution, and returns.
*Facility Upkeep: Oversee the cleanliness and tidiness of office and kitchen areas.
*Equipment Management: Ensure the smooth operation of office equipment, including printers and shredders, and troubleshoot issues.
*Contract Management: Maintain the contracts database and manage the DocuSign process.
*Meeting Support: Provide support for meetings and perform general errands as needed.
*Safety Checks: Conduct routine weekly health and safety checks, maintaining logs for fire extinguishers and emergency lighting.
Required Skills & Qualifications:
*Relevant Experience: Previous experience in an Accounts Assistant, Finance Administrator, or Accounts Payable role is desirable.
*Accounting Knowledge: Basic understanding of accounting principles and bookkeeping processes.
*Technical Proficiency: Skilled in Microsoft Office (Excel, Word, Outlook) and familiar with accounting software such as Xero, Sage, or QuickBooks.
*Numerical Accuracy: High level of accuracy and attention to detail.
*Organisational Skills: Strong ability to manage multiple tasks and meet deadlines.
*Communication: Excellent communication skills, both written and verbal.
*Team Collaboration: Ability to work collaboratively and support colleagues.
*Confidentiality: Must handle financial and HR information with discretion and confidentiality.
*Problem Solving: Capable of investigating and resolving discrepancies in financial data.
