Job Description:
Hours: Monday to Friday - Monday to Thursday is 8.30am to 1pm and Friday is 8.30pm to 12.30pm, total of 22 hours per week.
Purpose of Role
To provide a professional and efficient reception service, ensuring continuous cover through a job-share arrangement and supporting administrative functions across departments.
Key Responsibilities
Reception & Telephone Management
*Operate the reception desk and telephone system professionally and courteously.
*Answer incoming calls promptly, determine the purpose, and direct to the appropriate person or department.
*Take accurate messages and ensure timely delivery to the relevant recipient.
*Maintain the abbreviated dialing system and assist with directory updates.
Visitor Liaison
*Welcome and register visitors in compliance with Company Health & Safety and Security policies.
*Announce visitors to the appropriate person or department and ensure smooth visitor experience.
Administrative Support
*Assist the Finance Department with invoice processing and query resolution when requested.
*Provide administrative support to other departments as required.
*Collaborate effectively with the job-share partner to ensure consistent service delivery.
Skills & Attributes
*Excellent communication and interpersonal skills.
*Professional telephone manner and customer service focus.
*Strong organizational skills and attention to detail.
*Ability to work collaboratively and flexibly.
