Job Description:
Office Administrator
*Hourly Rate: £12.70
*Working Hours: 28 hours, across 4 days (Monday, Tuesday, Thursday, and Friday).
*Location: Belfast
*Job Type: Part-time, Temporary (with potential for Permanent)
Join a leading charity organisation in Belfast. We are currently seeking a dedicated Office Administrator to enhance our clients team. This role is essential in supporting multiple teams with their administrative needs and maintaining the front of house operations.
Day-to-day of the role:
*Maintain a welcoming atmosphere for all professionals and visitors, contributing positively to the organisation’s reputation.
*Handle correspondence and enquiries, including telephone and reception duties.
*Process all incoming correspondence efficiently, maintaining accurate records in line with company policies.
*Provide administrative support to the Senior Management team and assist in the organisation of meetings, seminars, and training workshops.
*Manage office duties such as ordering supplies, data inputting, and organising meetings.
*Maintain booking systems for meeting rooms and organisational accounts.
*Support marketing campaigns and assist with the preparation and administration of promotional materials.
*Ensure compliance with Health and Safety, Fire Safety, and GDPR regulations within the office.
*Provide facilities maintenance, arranging necessary repairs and maintenance visits.
*Organise and administrate Office Meetings to ensure staff feedback is incorporated.
*Support the Board of Directors with meeting organisation, minute-taking, and document preparation.
Required Skills & Qualifications:
*Business Administration Qualification with at least 1 year of high-quality administrative support experience, or 2 years’ experience in a similar role without specific qualifications.
*Proficiency in Microsoft 365 (Word, Excel, Outlook, Access, PowerPoint, and Publisher).
*Excellent communication skills, both written and verbal, with the ability to engage with stakeholders at all levels.
*Strong organisational skills with a high level of attention to detail and accuracy.
*Ability to work independently and as part of a team.
