Job Description:
Marketing Admin Assistant (Events Team) Surbiton
*Salary: £35k - £40k pro rata, depending on experience
*Location: London
*Job Type: Temporary (3 months from January)
We are seeking a Marketing Admin Assistant to support our Clients Events Team. This temporary role involves a wide range of administrative tasks, from shipping stock globally to managing exhibitor portals and coordinating travel for events. The ideal candidate will be highly organised, proactive, and experienced in handling complex logistics and administrative tasks in a fast-paced environment.
Day-to-day of the role:
*Shipping and Logistics: Manage the shipping of stock globally, including packing and liaising with advance warehouses, local offices, DHL, and customs to ensure timely delivery.
*Exhibitor Portal Administration: Update company information, contact suppliers for stand orders, and populate event briefs and project management boards with all relevant information.
*Event Preparation: Prepare comprehensive event briefs including information on staff attending, show agenda, stand orders, stock, and travel details.
*Finance Management: Handle events credit card and event budget reconciliation to ensure accurate financial management.
*Travel Coordination: Allocate hotels to staff attending events, liaise with the team on travel dates, make payments, and send out confirmations.
*Supplier Coordination: Research and engage with local suppliers, get quote comparisons, and place orders for stands and other necessary materials.
*Event Briefing Packs: Compile event briefing packs that include hotel confirmations, name badges, show agendas, stock lists, and stand information.
*Delegate Management: Manage delegate badge registrations for all staff attending events.
*General Event Administration: Update the global events calendar, maintain event briefs, budgets, and manage all other event project administration tasks.
Required Skills & Qualifications:
*Proven experience in an administrative role, preferably within an events or marketing context.
*Strong organisational and project management skills with the ability to manage multiple tasks simultaneously.
*Excellent communication skills and the ability to work effectively with multiple stakeholders.
*Proficiency in using project management tools and platforms.
*Experience in financial management and budget reconciliation.
*Ability to work independently and as part of a team.
