Job Description:
We are recruiting on behalf of a growing and dynamic technology business for an experienced Office Manager to support the Head of Operations and take day-to-day ownership of the smooth running of the office and wider business operations.
This role is ideal for an Office Manager who enjoys being at the centre of an SME — managing priorities, maintaining structure, and ensuring people, systems, and processes are well organised and compliant. You’ll be a trusted point of contact across the business, providing practical, hands-on support while continuously improving how the office and administrative functions operate.
The Role
As Office Manager, you will be responsible for overseeing the daily administrative and operational activities that keep the business running efficiently. You’ll bring strong organisational skills, excellent attention to detail, and a calm, methodical approach to managing multiple tasks and stakeholders in a fast-paced environment.
This is a varied, hands-on role suited to someone who enjoys responsibility, autonomy, and being relied upon to "keep everything on track".
Key Responsibilities
*Coordinate and maintain ISO standards (9001 / 14001 / 27001), ensuring documentation is up to date and supporting audit preparation and ongoing compliance
*Maintain and improve office procedures, administrative systems, and internal processes
*Manage and update the project management system to ensure information is accurate and current
*Attend departmental meetings, take ownership of actions, and support resolution of operational and compliance issues
*Prepare and maintain reports, trackers, and records, highlighting risks, actions, and outstanding items
*Act as a key administrative liaison with external stakeholders (including clients, legal advisors, and government bodies), coordinating information and follow-ups internally
*Support sales and operations administration, including managing supplier and client documentation and assisting with contract administration
*Monitor shared inboxes, prioritise queries, and allocate actions appropriately
*Manage client feedback processes and ensure timely follow-up
*Administer AdobeSign and oversee document control and version management
*Proofread business documentation to ensure accuracy, consistency, and professionalism
*Oversee all office management activities, including supplies, facilities, recycling, and cleaning
*Coordinate client and colleague gifts when required
*Arrange travel and accommodation bookings for staff as needed
Skills & Experience
*Proven experience in an Office Manager, Senior Administrator, or similar role within a fast-paced SME
*Experience supporting ISO audits or managing compliance documentation
*Strong administrative and organisational skills with exceptional attention to detail
*Confidence handling contracts, formal documents, and sensitive information
*Comfortable using Office 365 and CRM systems
*Able to manage competing priorities and liaise with stakeholders at all levels
*Proactive, reliable, and highly organised, with a practical, solutions-focused mindset
If you’re an experienced Office Manager who enjoys bringing order, consistency, and efficiency to a growing business — and wants a role where your contribution is genuinely valued — we’d love to hear from you.
This is an office-based position working from the New Malden location ( with some flexibility), with occasional travel to other offices as required.
Salary: £36,000 – £40,000
Location: New Malden (offices conveniently located near the train station)
