Job Title: Office Administrator
Contract: Full-time, Permanent
Must be able to commit to 5 days in office
Must be able to do 8:45am-6pm Monday-Friday
Role Summary:
We are seeking a capable and detail-focused Office Administrator to support a busy estate agency in London.
You will be working between 2 offices one in the West End and the other in the City (EC1)This position is ideal for someone with around 6–12 months of lettings administration experience who is eager to broaden their responsibilities and develop their career in property or administration.
You’ll play a central role in keeping the office running smoothly, supporting the lettings team, and providing a professional first point of contact for clients, landlords, tenants, and suppliers. A proactive attitude and excellent organisational skills are essential.
Key Responsibilities
Lettings & Property Support
*Assist with the preparation of tenancy paperwork and related documentation
*Communicate with landlords, tenants, and contractors to help coordinate tenancy processes
*Maintain accurate property and tenancy records on internal systems
*Support referencing and compliance administration
*Respond to lettings and property-related enquiries
Office Administration
*Answer telephone calls and manage incoming email enquiries
*Provide administrative assistance to all departments as needed
*Order office supplies, stationery, and marketing materials such as window cards
*Keep filing systems and records well organised and up to date
*Help manage diaries, appointments, and meeting schedules
*Ensure the day-to-day office environment operates efficiently
Customer & Client Service
*Act as a friendly and professional first point of contact
*Build positive working relationships with landlords, tenants, vendors, buyers, and suppliers
*Handle queries promptly, escalating issues where appropriate
Skills & Experience Required
Experience
Previous experience in lettings or property administration or office administration (approximately 6–12 months)
*General office administration background
*Experience in sales administration is helpful but not essential
Attributes & Skills
*Strong attention to detail and accuracy
*Excellent organisation and time-management skills
*Confident communicator with a professional telephone manner
*Able to work independently and use initiative
*Comfortable using Microsoft Office and property CRM systems
*Reliable, proactive, and team-oriented
