Office & Facilities Coordinator
Location: Epping
Salary:£33,000 per annum
Hours:37 hours per week

Our client in Epping is seeking a dependable and adaptable Office & Facilities Coordinator to keep the workplace running smoothly while handling both routine tasks and reactive challenges with confidence.
This is a varied, hands-on role suited to someone who enjoys taking ownership, staying one step ahead, and problem-solving on the go.
Key Responsibilities
Facilities Management
*Oversee the daily operation and general upkeep of the building and surrounding areas.
*Coordinate routine maintenance and servicing, planning ahead to minimise disruption.
*Manage day-to-day repairs and reactive issues, resolving unexpected problems swiftly.
*Support building opening and closing procedures.
*Manage building keys and general access requirements.
*Organise and oversee fire drills and basic building safety checks.
General Office Management
*Proactively manage stock levels and ordering of office supplies, consumables, equipment, and groceries.
*Maintain contracts and office equipment such as mobile phones, printers/photocopiers, shredders, and the franking machine.
*Ensure first aid kits are fully stocked, compliant, and accessible.
*Welcome and support visitors (low volume) and oversee the sign-in process.
*Manage meeting rooms and organise refreshments/catering where required.
*Handle incoming and outgoing post, parcels, and courier items (low volume).
*Answer and direct incoming calls (low volume), including management of the switchboard night service.
*Arrange travel for senior managers and visitors.
*Maintain accurate staff attendance and location records.
*Take minutes during management meetings.
*Provide general admin and operational support to colleagues.
Project Support
*Assist with ad hoc projects, using a proactive mindset to improve processes and support wider business needs.
About You
*Highly organised with a proactive, forward-thinking approach.
*Confident handling reactive issues, troubleshooting and resolving problems calmly.
*Able to manage a varied workload and switch focus when priorities change.
*Strong communicator who works well with suppliers, contractors, and internal teams.
*Approachable, dependable, and confident working independently.
*Experience in office or facilities coordination (or similar) is advantageous.
