Job Description:
Client Relationship Team Administrator
*Location: St Albans (Parking on site)
*Salary: £25,000 per annum
*Working Hours: Monday–Friday, 9:00am–5:00pm (34.5-hour working week)
(Flexi-time / flexible hours may be available, subject to confirmation)
We are seeking an enthusiastic and professional Client Relationship Team Administrator to serve as the first point of contact for clients and visitors at our firm. This role is crucial in maintaining a welcoming and efficient front office, handling sensitive information with discretion, and supporting our team with various administrative tasks.
Day-to-day of the role:
*Greet clients and visitors in a professional and courteous manner, ensuring a positive first impression.
*Maintain a welcoming reception area, including the preparation and setup of meeting rooms.
*Answer and screen incoming calls, route calls to relevant staff, and take accurate messages.
*Receive and distribute incoming emails and general correspondence to appropriate internal recipients.
*Schedule consultations, meetings, and conference calls; coordinate room bookings and manage calendars for designated staff.
*Confirm appointments and handle rescheduling or cancellations as needed.
*Scanning and electronically filing incoming post.
*Manage printing and preparation of outgoing post.
*Handle filing and management of original documents.
*Upload documents and input information into the electronic case management system.
*Provide administrative support to lawyers working from home, including printing and filing.
*Receive courier deliveries and arrange outgoing mail and courier pickups.
Required Skills & Qualifications:
*Excellent communication skills and telephone manner.
*Strong organisational skills and attention to detail.
*Proficient in problem-solving and prioritising tasks.
*Competence with Microsoft Office (Word, Excel, Outlook).
*Ability to use initiative and maintain a positive ’can do’ attitude.
*A spirit of cooperation and the ability to work effectively under pressure.
