Role Overview:
We are working with a well-regarded pensions organisation that is seeking a Senior Operations Specialist to join its operations team.
This role is well suited to an experienced pensions operations or administration professional who has strong data management capability, enjoys overseeing operational processes, and is comfortable supervising and supporting colleagues. You will play a key role in delivering accurate monthly processes across DB and DC schemes, managing reconciliations, supporting system improvements, and ensuring high-quality service delivery.
Key Responsibilities:
*Oversee and complete monthly operational processes for DB and DC pension schemes, ensuring accuracy and timeliness.
*Monitor DB and DC processes, including member data maintenance and handling employer and member enquiries.
*Manage and support reconciliation processes, including:
*New joiners and leavers (including opt-outs)
*Monthly contribution validation and loading
*Investigation of contribution discrepancies
*Data and payment mismatches
*Reconciliation of payments and data with employers
*Produce reconciliation reports and support employers with resolving data quality issues.
*Supervise and coordinate the work of administrators, acting as a first point of escalation.
*Allocate work, monitor performance against SLAs/KPIs, and support workload planning.
*Provide training, coaching, and day-to-day support to team members.
*Manage system changes and improvements, including raising and tracking service desk tickets and supporting testing activity.
*Work with third-party suppliers to ensure post and workflows are managed effectively.
*Maintain and update process documentation, manuals, and training guides.
*Monitor team inboxes and distribute work appropriately.
*Support operational risk management and business continuity planning.
Skills, Experience & Qualities Required:
*At least 3 years’ experience in pensions administration or pensions operations.
*Strong understanding of DB and DC pension schemes.
*At least 3 years’ experience of data entry, amendment, and maintenance.
*Strong Excel skills, including pivot tables and VLOOKUPs (or equivalent).
*Excellent organisational and time-management skills.
*Strong numerical and analytical capability.
*High level of attention to detail.
*Good written and verbal communication skills.
*Customer-focused mindset.
*GCSE Maths and English (or equivalent) or relevant experience.
Desirable:
*Knowledge of pensions legislation and regulatory requirements.
*Experience supervising or managing others, including coaching and performance support.
