Facilities Coordinator – Whitstable
*Monday–Thursday: 8:00am – 4:30pm
*Friday: 8:00am – 1:30pm
*Salary up to £55,000.00
*Location: Whitstable

About the Role
An exciting opportunity has arisen for an experienced Facilities Coordinator to take ownership of the day-to-day maintenance, operational functionality, and compliance of a busy site in Whitstable.
This role requires a proactive and hands-on professional who can ensure the premises remain safe, compliant, well-maintained, and fully operational at all times. You will play a key part in supporting the Facilities and Maintenance function, working closely with internal teams, contractors, and external service providers to maintain high standards across the site.
Key Responsibilities
*Respond swiftly and effectively to facilities-related queries, issues, and requests.
*Support and provide dot-line supervision to a Facilities Technician, coordinating daily tasks and priorities.
*Manage risk-based tasks aligned to internal risk registers and insurance requirements.
*Oversee site compliance for both the business and tenants, ensuring all legal obligations are met.
*Diagnose issues on site and take corrective action as required.
*Develop long-term plans to maintain and improve the condition, safety, and functionality of the site.
*Work within established RACI matrices and collaborate with stakeholders on facilities projects.
*Partner with procurement to implement SLAs, manage supplier contracts, and oversee services including security, pest control, HVAC, and more.
*Manage all fire systems across the site, ensuring full compliance and record-keeping.
*Conduct gap analyses against EHS legislation and maintain a schedule of inspections and remedial works.
*Coordinate significant repairs, installations, or refurbishments with all affected parties.
*Oversee contractor management, ensuring safety systems of work are adhered to.
*Manage departmental waste responsibilities in line with environmental standards.
*Track and control approved facilities budgets, ensuring cost-effective operations.
*Maintain discipline in line with company policies (e.g., absence, holidays, conduct).
*Support with data collection for sustainability, environmental reporting, and cost analysis.
*Contribute to the development and ongoing management of the company CMMS.
Person Specification
Essential
*Minimum 3 years’ experience in a similar facilities, maintenance, or building operations role.
*GCSEs in Maths and English (Grade 4 or equivalent).
*Broad hands-on technical skills (e.g., basic plumbing, carpentry, general maintenance).
*Solid understanding of HSE compliance requirements.
*Strong organisational, problem-solving, and communication skills.
*Competent IT user – able to record activity logs, communicate with suppliers, and raise purchase orders.
Desirable
*Formal qualifications in Legionella, cryogenic gases, or electrical disciplines.
*IOSH Managing Safely (or equivalent).
*Experience leading capital investment projects.
