Job Description:
*Annual Salary: £25,000
*Location: NW11
*Job Type: Full-time
We are seeking a professional, organised, and proactive Receptionist to be the first point of contact for our busy law firm. The successful candidate will ensure the smooth running of the reception area, deliver excellent client service, and provide essential administrative support to the wider team.
Day-to-day of the role:
* Front of House & Telephone:
*Switch telephones on at 9:28am and off at 5:30pm.
*Answer incoming calls promptly (within two rings where possible), handling enquiries efficiently and taking clear, accurate messages when required.
*Greet clients and visitors in a warm, professional manner and notify staff of arrivals.
* Post & Deliveries:
*Collect incoming mail from DX and Royal Mail.
*Open, sort, and distribute post promptly across departments.
*Manage outgoing post, including franking and arranging recorded deliveries.
*Book couriers and maintain accurate records within the system.
*Ensure faxes and special deliveries reach the correct recipients without delay.
* Office Support:
*Open blinds and prepare the reception area each morning to a high standard.
*Log onto the computer systems and ensure reception is fully operational at the start of the day.
*Monitor shared office equipment, ensuring photocopiers are stocked with paper on every floor.
*Check that milk supplies are replenished on each floor (Monday and Thursday).
* Administrative Duties:
*Manage reception emails and respond or forward as appropriate.
*Assist with filing for fee earners when required.
*Handle deeds and storage enquiries professionally and confidentially.
* End-of-Day Procedures:
*Transfer phones to the night service.
*Close blinds and ensure reception is tidy.
*Switch off air conditioning/heating as appropriate.
Required Skills & Qualifications:
*Excellent communication and interpersonal skills.
*Professional appearance and manner.
*Strong organisational ability with attention to detail.
*Reliable, punctual, and able to manage routine responsibilities consistently.
*Comfortable working in a fast-paced office environment.
*Basic administrative and IT skills.
*Desirable: Previous reception experience, ideally within a professional services or legal environment. Experience handling high call volumes. Familiarity with DX or legal post systems.
