Job Description:
Our client is looking for an HR & Facilities Administrator to support the smooth and compliant delivery of HR and facilities operations across the business.
This is a highly organised, detail-focused role, ideal for someone who enjoys managing structured processes, maintaining accurate records, and supporting a positive employee experience throughout the full employee lifecycle.
The HR & Facilities Administrator will act as a key operational support to the HR function, ensuring consistency, data integrity, and adherence to policy, employment law and internal controls.
Key Responsibilities
Recruitment & Onboarding
Support the end-to-end recruitment process in line with documented procedures
Issue contracts, offer letters and starter documentation within agreed timescales
Coordinate pre-employment checks and ensure legal compliance
Maintain onboarding checklists and ensure all tasks are completed
Set up new starters on internal systems and trackers
Coordinate inductions and ensure mandatory documentation is completed
Employee Records & HR Administration
Maintain accurate, up-to-date employee records and HR databases
Carry out regular data audits and resolve discrepancies


Administer contractual changes and produce accurate documentation
Process leavers in line with offboarding procedures
Facilities & Health & Safety
Coordinate day-to-day office operations to ensure a safe, well-maintained environment
Manage relationships with facilities suppliers and service providers
Log, track and resolve facilities issues
Maintain facilities contracts, renewal dates and service documentation
Ensure offices are appropriately equipped and stocked
Maintain Health & Safety records, risk assessments and accident logs
Support audits through clear and well-organised documentation
Process & Compliance
Support HR policy updates, tracking approvals and communications
Ensure HR and facilities processes are followed consistently
Maintain procedural guides, templates and checklists
Support internal and external audits
Ensure GDPR and confidentiality requirements are upheld at all times
Skills & Experience Required
Proven experience in an HR administration or HR operations role
Strong experience managing high-volume, process-driven workloads
Excellent attention to detail with a focus on accuracy and compliance
Strong Microsoft Office skills
Experience handling confidential data in line with GDPR
Highly organised, methodical and able to manage competing priorities
Proactive and comfortable working independently while supporting a wider HR team
Desirable
Experience supporting facilities or office management
Administrative understanding of UK employment law
