Job Description:
My client is currently recruiting for an Office Manager / PA to the Director within a specialist, independently run property firm. The business is known for delivering a first-class, bespoke service to property owners. The Office Manager / PA plays a pivotal part in the company’s success - not only handling key administrative duties but also acting as the central link between office operations and the wider team.
Key Responsibilities
Administrative & PA Support
*First point of contact for clients—both in person and by phone
*Diary management, minute-taking, filing and general PA duties for the Director
*Overseeing office supplies, suppliers and daily office organisation
*Maintaining staff records, corporate procedures, key and file management
*Preparing the office for meetings and ensuring a professional environment
Property Support
*Assisting with sales and lettings processes when required
*Drafting property brochures, flyers, and marketing materials
*Arranging EPCs, floorplans, photography and online property listings
*Booking and occasionally attending viewings
*Liaising with solicitors, consultants and clients
Creative, PR & Marketing
*Helping drive social media output, including taking photos/videos
*Drafting adverts for magazines and participating in community marketing
*Liaising with external marketing partners
*Supporting sponsorship activity with schools and local organisations
Financial & Compliance Support
*Basic bookkeeping using Xero (training can be provided)
*Maintaining invoices, payments, staff expenses and reconciliations
*Assisting accountants with queries
*Managing Anti-Money Laundering (AML) processes and training records
Additional Responsibilities
*Supporting the creation of business plans, cashflows and investor presentations
*Managing office vehicles (permits, MOT, servicing)
*Attending occasional events or corporate functions
*Helping maintain an organised, welcoming office environment
Required
* 3+ years office manager/PA experience

* Ideally some estate agency or lettings experience

* Knowledge of Reapit would be useful

* An excellent level of IT ability including Word, Excel, Outlook and PowerPoint

* Creative mindset with an interest in marketing and social media

* Able to multitask, remain calm under pressure and work flexibly when required
