Job Description:
The Executive Assistant will be a highly diligent, conscientious, and positive individual approaching work given by the Executive Team with the utmost discretion and confidentiality. The Executive Assistant will play a pivotal role in enabling the smooth and effective operation of the Executive Leadership Team. This position requires exceptional organisational capability, confidentiality, communication skills, and the ability to operate with professionalism at all times. The individual will be adaptable, organised and autonomous.
Responsibilities
The responsibilities of the Executive Assistant include (though are not limited to):
Support with the coordination of internal and external meetings, including preparation of agendas, briefing packs, presentations, and follow-up actions.
Support the organisation of Board and ELT meetings, including document collation, minute-taking, and maintaining accurate records.
Handle confidential information with discretion and maintain a high level of professionalism.
Support where requested in arranging UK and international travel, accommodation, and itineraries through the Company’s Travel Perk platform.
Prepare correspondence and presentations on behalf of senior leaders.
Assist with the coordination of internal communications, ensuring messages from the ELT are delivered accurately and on time.
Support the delivery of key corporate projects, tracking actions and ensuring stakeholders remain aligned.
Assist in preparing materials for client meetings, industry forums, and external events.
Conduct research and gather information to support decision-making and strategic initiatives.
Play a supporting role in company events, workshops, and leadership off-sites.
Build strong relationships across the business.
To support with office management responsibilities, including but not limited to office supplies.
Liaise with the company’s fleet management on cars, car leases, renewals, car changes and other compliance requirements. Support with car fleet administration where needed.
To support other areas of the business in peak times when requested.
Support business transition projects where appropriate.
You will be expected to carry out any other duties that may reasonably be required and notified to you by the Company.
Skills and Experience
Excellent communication skills and ability to balance requests from multiple stakeholders – Managing Director, Executive Leadership Team (including HR Director, Finance Director, Client Services Director and Process Management Director).
Proactive, positive and quality-focused.
Ability to work on own initiative, autonomously, as well as part of a wider team.
Competent use of technology, including Office 365 suite.
Displays confidence, professionalism, and persistence.
Experience as a senior administrative professional, ideally within financial services, insurance, loss adjusting or a similar professional services environment.
Strong organisational and time management skills.
Qualifications
English and Maths GCSE (grade 4/C or above).
3+ years’ experience in an administrative/support role.
