Job Description:
Seeking a Customer Service and Facilities Assistant to join a front of house team within a charitable organisation based in South London who not only strive to achieve on their charitable objectives are focused on defined beneficiaries much of their day-to-day work involves looking after the local Estate.
This will, due to the scope and nature will be an evolving role so will require diversity and fluidity. It is a crucial key role between departments as well as being the initial point of contact to the public, local residents and visitors as well as being a dynamic piece to the variable team, covering multiple duties across the team.
Due to the nature of the role, you will need to have excellent customer service and organisation skills, being the fore front of the organisation, meeting and greeting clients, managing all communication and diary invites in terms of organising and putting together spectacular local events.
The role is full time in the office Monday to Friday 9am to 5pm.
Salary - up to £27,000 depending on experience
ABOUT YOU:
*You must have excellent attitude to working within a dynamic and diverse team being a key team player
*The role is not a structured role and will differ each day so you will need to be open to change and a evolving role.
*Have a proven track record in office administration and facilities
*You will hold key background in Customer Service and being that key point of contact to customers
*Excellent telephone manner and personable manner
*Have excellent communication skills across both verbal and written
*IT literacy is imperative
MAIN DUTIES & RESPONSIBILITIES:
Customer service
*Ambassador for the customer portal - Dwellant and support Resident’s uptake of the system
*Ensure that all deliveries are put away including office equipment, weekly shopping, Tassimo delivery etc
*Be responsible for the upkeep of all storage areas
*Ensure the photocopiers are stocked up daily
*Ensure water dispensers are full and we have a sufficient amount of water
*Be responsible for morning Boardroom preparation
*Be responsible for the upkeep of the kitchen storage and checking dates on items daily
*Provide a weekly stock check on all consumables such as paper, envelopes, food items
*Provide customer service phone cover when needed – e.g., lunchtimes and during absence
*Support the cs team by helping with scanning and sending deeds when requested by other teams
*Assist the Customer service team with preparation for events and meetings
*Provide customer service to the internal team, including collecting post, scanning and filing of documents, key requests, photocopying
Facilities
*Support the facilities manager with compliance checks, e.g., weekly flushing, daily perimeter checks, weekly fire alarm test etc
*Escort contractors to the relevant places/ buildings and supervise where necessary
*Provide the FM with monthly meter reads from each building and ensure all accounts are up to date
*Provide admin support
*Be responsible for the IT equipment list & property assigned forms
*Be responsible for recycling in line with the Estates sustainability procedure including all office cardboard etc as well as delivering the pod recycling to the Village
*Be responsible for facilities when the FM is absent and after the FM finishing time (2-3)
Other
*Provide admin support if requested to any other team where requested by their HOD such as scanning, filing, photocopying.
*Carry out other duties as may be required from time to time by the Customer Service Manager & Facilities Manager
*Abide by all of the Company policies and procedures and regulatory requirements and codes of practice
