Job Description:
The primary purpose of this role is to support the day-to-day management of an office-based premises, ensuring the site operates efficiently, safely, and to a high professional standard.
The role covers the following key areas:
Facilities
Manage and maintain appropriate levels of office supplies, including consumables, products, and stationery
Ensure the premises, with particular focus on communal areas, are kept clean, tidy, and well-presented
Support postal deliveries and collections
Liaise with external suppliers, process invoices and payments, and assist with the management of office-related expenses
Reception
Welcome and sign in external visitors, issuing and managing temporary access passes or key fobs
Coordinate visitor arrivals and departures with internal meeting hosts
Maintain the reception area to a consistently high standard of cleanliness and presentation
Meetings
Prepare meeting rooms in advance of external visitor appointments
Coordinate catering orders and ensure timely distribution to meetings
Assist with managing meeting room capacity and scheduling changes
Maintenance
Liaise with tradespeople, contractors, and suppliers to coordinate and administer required maintenance works
Manage and schedule annual servicing and inspections in line with legal and regulatory requirements
Support the management of ad hoc maintenance issues and emergency situations
Health & Safety
Assist with the implementation and ongoing management of fire safety and first aid procedures
Support risk management activities, including risk assessments
Schedule and track annual health and safety reviews and statutory testing
Security & Compliance
Manage and process building access requests
Support internal and external audits as required
Assist with the implementation and enforcement of security measures across the organisation
Liaise with shared services or external partners to ensure compliance with relevant regulations and standards
Projects
Support ad hoc projects as required, working collaboratively with colleagues across the business to deliver specific initiatives
Demonstrate a professional, organised, and adaptable approach when supporting project activity
2) Employee Engagement
As part of this role, the post-holder will support a range of employee engagement initiatives, contributing to a positive and inclusive workplace culture.
Internal Events & Projects
Coordinate internal events and activities, including sourcing suppliers or venues
Support the creation and coordination of related communications and promotional materials
Oversee events during delivery to ensure smooth execution
Manage and monitor allocated budgets to ensure cost-effective delivery
