Job Description:
Working for a leading Commercial Property consultancy the Property Administrator will provide comprehensive administrative and operational support to the Property and Facilities Management team, ensuring the efficient day-to-day management of a portfolio of properties. This role plays a key part in lease administration, financial processing, insurance coordination, document control, client reporting, and the coordination of client meetings, delivering a consistently high standard of service to our client.
Key ResponsibilitiesAdministration & Office Support * Provide full administrative support, including diary management, correspondence, filing, reporting, and document distribution

* Maintain accurate and compliant property files, including leases, client reports, and statutory documentation

* Update and maintain office procedures within the Property Operations Manual as required

Lease Administration * Support lease administration activities, including lease abstraction and maintenance of property databases

* Ensure tenant, lease, and critical date information is accurate and kept up to date

Financial & Arrears Support * Process invoices in line with established accounting procedures, ensuring correct coding and supporting documentation

* Raise and submit purchase orders

* Produce and monitor aged debt reports and assist with arrears management in line with company and client policies

* Process tenant recharges, including utilities, after-hours HVAC, and other recoverable costs

Compliance & Reporting * Ensure tenant and vendor Certificates of Insurance are current and compliant, including self-insured documentation

* Assist with annual budget preparation and monthly financial reporting

* Prepare and circulate collections and aged debt reports

Tenant Engagement * Assist with the preparation of tenant service charge budgets and reconciliation packs

* Support the creation of tenant handbooks, newsletters, events, and communications

* Assist with tenant engagement initiatives, including anniversaries, seasonal activities, and training sessions

Experience
* Minimum of 1 year’s experience in property administration, property management, or a related role

*Commerical experience
Work Environment * Office-based professional environment with attendance at client meetings to take minutes

* Regular use of standard office equipment

* Hybrid working model
