Senior Administrator - 3 days in office, 2 days at home
Location: either Bath, Cheltenham, Chelmsford or Nottingham
Contract: Full-time
Department: Client Services
Reports to: Client Support Team Leader
Are you an experienced administrator with a passion for delivering exceptional client service? We’re looking for a proactive and detail-oriented Senior Administrator to support our Wealth Client Executives and Financial Planners. In this role, you’ll play a key part in ensuring clients receive a seamless, efficient and professional service experience.


Key Responsibilities
1. Senior Administration Support
*Prepare annual review meeting packs, including portfolio reports.
*Work closely with the central Administration team to process new client and review documentation.
*Chase and collate Letter of Authority information, following agreed procedures.
*Package and distribute financial planning reports.
*Process and submit new business applications and client instructions, ensuring timely completion within SLAs.
*Keep clients and Wealth Client Executives updated on progress and handle technical queries.
*Contribute to consistent performance in audits and team goals.
*Produce and issue client fee invoices.
*Take part in weekly planning meetings to support the client journey.
*Maintain accurate client data in back-office systems.
*Update and proactively monitor client platform accounts and MI reports.
*Liaise with product providers to progress submissions and obtain fee information.
*Support ad-hoc requests, projects and continuous process improvement.
2. Data Management
*Accurately input and manage client data within internal systems.
*Regularly check, update and correct data as required.
*Update policy and platform records based on provider correspondence.
*Ensure valuations and records are maintained for accuracy.
*Record all client interactions to maintain complete audit trails.
3. Teamwork
*Build strong working relationships across the business.
*Help develop processes and support testing of new ways of working.
*Offer support to colleagues to ensure deadlines are met.
*Assist in training and developing less experienced team members.
*Provide absence cover and contribute to project work when required.
4. Compliance
*Maintain complete confidentiality and safeguard client data.
*Treat customers fairly and seek guidance where necessary.
*Follow internal compliance procedures and FCA regulations.
*Keep back-office client records accurate and up to date.
*Carry out tasks appropriate to skills and experience.
5. Training & Development
*Work with your manager to build a personal development plan.
*Complete internal training and assessments.
*Maintain ongoing CPD.
Skills, Knowledge & Experience
*Experience working within financial services (small–medium sized business preferred).
*Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint).
*Ability to deliver accurate, timely and relevant information.
*Collaborative and comfortable working within teams.
*Adaptable to change and able to work in evolving environments.
