New Business Administrator
Location: London
Salary: Up to £35,000 (dependent on experience)
Employment Type: Full-Time, Permanent
A well-established and reputable Financial Planning firm based in London is seeking an experienced New Business Administrator to join its growing team.
This is an excellent opportunity for a detail-oriented financial services professional to play a pivotal role in supporting Advisers and Paraplanners with the efficient onboarding, submission, and servicing of new business across a range of financial planning products.
The Role
The New Business Administrator will be responsible for managing cases from submission through to completion, ensuring accuracy, compliance, and excellent service delivery at every stage. The role requires strong organisational skills, attention to detail, and the ability to liaise effectively with internal stakeholders and clients.
Key Responsibilities
New Business Processing
*Submit new business cases in line with company procedures
*Create and manage CommPay lodgements for revenue expectations
*Set up fund accounts and initial investments, ensuring full and accurate plan details
*Create and update New Business Events (on risk, NTU’d, declined, deferred)
*Process fund switches, Bed & ISA transactions, and ensure plans are placed on risk
*Monitor case progression through to transfer and completion
*Ensure adviser fees are received and recorded appropriately
*Maintain accurate and up-to-date records within the back-office system
Communication & Coordination
*Liaise with Advisers, Paraplanners, providers, and clients regarding case progress and timescales
*Distribute application summaries, contract notes, and transaction histories
*Issue client communications once plans are implemented
*Coordinate medical appointments where required
Revenue & Data Management
*Confirm receipt of initial revenue payments
*Reconcile initial and ongoing revenue with the Finance Team
*Maintain accurate data feeds and ensure policy alignment
Quality Assurance & Compliance
*Conduct four-eyes checks on submissions and trades
*Verify application completeness prior to submission
*Attach and categorise documentation within Xplan accurately
*Maintain high standards of data integrity and compliance
System & Record Maintenance
*Update Xplan with full plan and revenue details
*Download and store contract notes appropriately
*Monitor and complete tasks promptly
*Maintain accurate time recording
Candidate Requirements*Previous experience within an IFA or Financial Planning environment
*Strong understanding of investments, pensions, and protection products
*Experience using back-office systems (Xplan highly desirable)
*Excellent attention to detail and organisational skills
*Strong communication skills and ability to manage multiple cases simultaneously
*Professional, proactive, and team-oriented approach
