Job Title: Property Maintenance Administrator
Location: Ipswich
Hours: Part-time, Monday to Friday, 9:00am – 3:00pm
Contract: Permanent
Start Date: ASAP
Role Overview
We are seeking a proactive and empathetic Property Maintenance Administrator to join our team in Ipswich. This is a key front-facing role, acting as the first point of contact for tenants regarding maintenance queries and property-related.
The successful candidate will be an organised all-rounder who can think on their feet, communicate confidently, and coordinate maintenance issues efficiently while delivering excellent customer service.
Key Responsibilities
*Act as the first point of contact for tenants, handling all maintenance queries and day-to-day property issues
*Log, prioritise, and track maintenance requests, identifying issues such as the source of water leaks and escalating where necessary
*Liaise with and coordinate contractors and maintenance teams, ensuring works are completed promptly and to standard
*Conduct and manage check-ins and check-outs for tenants
*Oversee and arrange deep cleans between tenancies, including shared kitchen and communal facilities
*Carry out daily administrative tasks, including posting updates, maintaining records, and reporting issues
*Provide a calm, empathetic, and solutions-focused response to tenant concerns
*Support the wider property management team with general administrative duties as required
*Work occasional weekends (approximately 4 per year) to support key operational periods.
Skills & Experience
Essential:
*Strong customer service and communication skills
*Ability to think on your feet and problem-solve effectively
*Organised, reliable, and able to manage multiple tasks simultaneously
*Empathetic and confident when dealing with tenant issues
Desirable:
*Previous experience in property management, lettings or hospitality administration desirable
*Familiarity with maintenance processes and contractor coordination
