Job Description:
Property Management Administrator (Temporary Assignment)
Location: Falkirk
Hours: 35 per week, Monday–Friday, 9am–5pm (1-hour unpaid lunch)
Rate: Equivalent to £29,541 per annum
Contract: Temp to Perm
Overview
An established property management and factoring service is seeking an experienced Property Management Administrator to provide essential support during a peak operational period. This role requires strong phone-handling skills, a calm approach under pressure, and confidence navigating property factoring systems and legislation.
This role is based on site with some home-working flexibility as required.
Key Responsibilities
Customer Contact & Phone Handling
*Provide high-quality, dedicated phone cover during a high-demand period
*Manage high call volumes calmly, professionally, and efficiently
*Use Aareon QL to access real-time account information, statements, repairs history, and owner details
*Deliver first-time resolution wherever possible, resolving customer issues during the initial call
*Reduce unnecessary call-backs, emails, and repeat contact by providing clear, complete explanations
*Accurately log all call outcomes in Aareon QL to maintain reliable CRM and audit-ready records
Teamwork & Service Delivery
*Work collaboratively within a fast-paced team, adapting to fluctuations in workload caused by invoicing cycles, arrears stages, contractor queries, and customer demand
*Support colleagues proactively to ensure smooth day-to-day operations
*Engage confidently with the operational realities of mixed-tenure estates, including shared repairs, landscaping, cleaning, insurance, and owner communication
Experience & Skills Required
*Previous experience in property factoring, property management, or social housing (highly desirable)
*Strong customer service experience, ideally in a phone-based environment
*Ability to remain calm and professional while managing high call volumes
*Confident using CRM or housing management systems (Aareon QL experience strongly advantageous)
*Excellent communication skills with the ability to provide clear, accurate explanations
*Strong organisational skills with high attention to detail
