Job Description:
Owen Reed is looking for a Deputy General Office Supervisor for a top law firm in London.
A fantastic opportunity for an experienced General Office professional to step into a supervisory role within a highly regarded law firm. This position plays a key role in ensuring the smooth running of General Office operations while maintaining exceptional internal client service standards.
The RoleReporting to the General Office Supervisor, you will support the day-to-day management of the department and supervise the General Office Assistant in their absence. This is a hands-on role requiring strong organisation, attention to detail and a proactive approach.
Key ResponsibilitiesPost & Deliveries*Manage incoming and outgoing Royal Mail, DX and courier items
*Ensure post is sorted in line with agile working protocols
*Maintain and top up the franking machine
*Report and resolve supplier faults promptly
Reprographics*Complete printing, copying, scanning and binding tasks
*Liaise with maintenance providers to resolve equipment issues
Stationery*Conduct regular stock checks
*Place orders in line with the core stationery list
*Replenish stationery points across the office
Financial Administration*Check invoices against agreed terms
*Code invoices for authorisation within one working day
KPIs & Reporting*Maintain accurate records
*Ensure monthly KPI reports are submitted on time
Meeting Rooms & Office Environment*Set up and reset meeting rooms
*Support Reception and internal events
*Assist with furniture moves and contractor works
*Maintain a clean, safe and professional environment
Supervisory Duties*Supervise the General Office Assistant in the Supervisor’s absence
*Coordinate rotas and lunch breaks
*Maintain high service standards across phone, email and Teams
*Escalate service-impacting issues to the Head of Business Services
Records Support*Assist with on-site and off-site archiving and matter closing when required
Experience Required*Previous experience in a similar role within a law firm
*Strong organisational and administrative skills
*Proficient in Microsoft Word and Excel
*Ability to prioritise workload and meet tight deadlines
*Experience with manual handling (moving boxes/furniture)
*Strong attention to detail
*Ability to improve systems and processes
