Job Description:
Ormiston Trust is seeking a detail-oriented and proactive part-time Senior Bookkeeper, for two to two and a half days per week, to support day-to-day financial operations, grant monitoring, and management reporting. The role will suit an AAT-qualified (Level 3 or 4) or QBE bookkeeper with strong technical skills, excellent communication abilities, and experience working with charities, grant-giving bodies, or similar organisations.
Key Responsibilities
Planning, Reporting & Analysis
*Assist in producing the financial plan and budgets for the year with recommendations for Trustee consideration.
*Produce timely monthly and quarterly management accounts, with commentary. Providing financial insights to support decision-making.
*Prepare cashflow forecasts and cash position updates.
Financial Operations
*Process grant payments to Trusts and funded projects.
*Handle payments for expenses, payroll, and other routine transactions.
*Maintain accurate financial records using QuickBooks.
*Perform bank, balance sheet, and income and expenditure reconciliations.
Grant Oversight & Compliance
*Monitor the use of occasional high-value grant funds to ensure appropriate and compliant spending, in conjunction with the Grants Manager.
*Liaise with external auditors and provide required financial information.
*Assist with Charity Commission returns and related compliance tasks.
Governance & Trustee Support
*Prepare Finance Committee papers, including financial summaries, budget monitoring, and cash position reports.
*Produce all papers and minutes from the Finance Committee meetings, record and monitor actions.
*Attend and provide input and insight at weekly finance meetings with the CEO and senior colleagues.
Audit, Accounts & External Accountants
*Act as the main internal point of contact for External Accountants.
*Support External Accountants in the preparation of audit and statutory accounts, including provision of schedules and responses to audit queries.
*Assist with VAT returns in liaison with external advisers.
Systems & Tools
*Use QuickBooks for bookkeeping and financial processing.
*Develop and maintain reports and spreadsheets in Excel, including: Pivot Tables, SUMIF(S) and other calculations, Conditional formatting, Data validation and reconciliation controls.
*Visual reports including dashboards to be designed and enhanced.
Person Specification
Essential
*AAT Level 3 or 4, or Qualified by Experience (QBE).
*Strong bookkeeping skills with hands-on experience in small or medium organisations.
*Proficiency with QuickBooks.
*Strong Excel capabilities, including Pivot Tables, SUMIF(S) and other calculations and Conditional Formatting.
*Experience working remotely and managing deadlines independently.
*Strong attention to detail, accuracy, and organisational skills.
*Confident in communicating with internal stakeholders and project partners.
Desirable
*Knowledge of charity financial reporting requirements.
*Experience within a charity or educational environment would be beneficial.
*Experience or knowledge of supporting the completion of Charity Commission filings.
*Background in grant-giving, grant management, or monitoring the appropriate use of funds.
*Confident in communicating with auditors.
The role is predominantly remote with one monthly meeting in London, working 2-2.5 days per week.
