Job Description:
The RoleWe’re looking for a proactive and highly organised Grounds Maintenance Coordinator to support our busy Grounds Maintenance team. In this role, you’ll be responsible for planning and scheduling work, coordinating day-to-day activities, and providing essential administrative support to ensure our operations run smoothly and efficiently. You’ll help maintain clear communication across the team, track progress against deadlines, and contribute to delivering a high-quality service for our sites and customers.
Accountabilities and Responsibilities*Provide coordination and administrative support to managers and team leaders, including (but not limited to) communications support, project assistance for Grounds Maintenance activities, and preparing presentations, briefing notes, and internal/external communications.
*Promote a strong Health, Safety and Wellbeing culture and champion best practice across the department.
*Order equipment, consumables and PPE to ensure teams are fully resourced.
*Act as the training coordinator for the area, maintaining accurate training records, monitoring course attendance, and serving as the first point of contact for training invitations and joining instructions.
*Liaise regularly with internal and external stakeholders to support effective operations.
*Coordinate and maintain corporate IT systems and bespoke Grounds Maintenance IT systems as required.
*Manage the GM mailbox, responding to queries, logging work requests, and supporting internal communications.
*Conduct equipment and fleet stocktakes across base sites to ensure inventory records remain accurate.
*Review, record and log overtime requests, submitting data to Finance for processing.
*Raise SAP orders and engineering certificates in line with procurement requirements.
*Work closely with schedulers to ensure operatives and contractors are able to deliver cyclical and reactive works on time.
*Investigate and resolve discrepancies related to purchase orders, suppliers, or payment requests.
*Support the Operations transport fleet, including coordinating MOTs, servicing, fuel card registration and distribution.
*Assist with recruitment activities such as interview coordination and staff inductions.
*Produce data analysis and reporting for Grounds Maintenance to support decision-making across the wider business.
This role may not be eligible for the visa sponsorship
Skills and Expereince*Excellent communication, negotiation, analytical and coordination skills.
*It is expected that the role holder can demonstrate experience and knowledge in Information Technology especially the Microsoft Office Suite.
*Basic understanding of the Grounds Maintenance Industry, including equipment and best working practices.
*Basic understanding of Health and Safety, Wellbeing and company polices.
*Ability to manage a varied work schedule, using initiative, communication and engagement skills.
A full UK driving licence is required for the role
