Join our team as Events Executive
The Events Team sits withing the Global Marketing, Brand and Belonging department of ICAEW and they collaborate extensively with stakeholders to deliver a diverse programme of events to our members and non-member community.
The ICAEW central events programme consists of over 240 events a year, comprising of virtual, hybrid and in-person formats.
The team provide a pivotal role engaging stakeholders to plan and execute events that meet member needs. We engage with stakeholders at all levels, and work very closely with colleagues notably marketing, communities, and commercial partnerships.
We have a core calendar of events but are sometimes required to adapt to meet the needs of members and stakeholders, and occasionally deliver events at short notice, so flexibility is a key team attribute.
This role requires relevant event experience. With a background in delivering programmes from either a commercial conference company or membership organisation.
Overall purpose of this role of Events Executive
Reporting to the Senior Event Manager the role will provide event planning, production (where applicable) and delivery support to some of ICAEW’s key stakeholders across the business.
This is an excellent opportunity for an events executive to engage with numerous areas of ICAEW, in an exciting and busy events department.
This role encompasses end-to-end management of a variety of events both virtual (via Zoom) and face-to-face including conferences, seminars, workshops, webinars and dinners. ICAEW central events programme consists of around 240 events, and this portfolio will comprise of approximately 40 events annually.
Please note some events take place out of office hours, this could be early morning or into the evening. If you are required to work outside of office hours, this would be agreed in advance and you can discuss with your line manager to take any appropriate time off in lieu.
The majority of events are hosted at Chartered Accountants’ Hall, some attendance at the London office will be required in order to prepare and support the team. During peak delivery periods the team occasionally come into the office more than two days a week.
Events Executive Responsibilities include:
*Organising and delivering a wide programme of commercial and strategic events for ICAEW members and guests in accordance with budget and event objectives.
*Logistical delivery of events, this includes use of the virtual events platform (Zoom), venue management, speaker liaison, virtual and on-site delivery, pre-event planning and administration, including speaker and delegate onboarding and performing first class event execution.
*Co-ordinating the delegate booking process, including building and maintaining webpages, liaison with relevant internal departments to optimise the delegate booking experience.
*Working alongside the commercial partnerships team, ensuring sponsorship deliverables are managed.
*Working with the various marketing teams on promotional material for each activity, with the ability to identify cross promotional opportunities for ICAEW products and services.
*Drafting and maintaining P&Ls, preparing information for event budgeting and reporting purposes.
*Working with internal stakeholders and clients to design events programmes, research and identify potential speakers/topics for event programmes.
Specific duties will vary from time to time in line with the business needs
Events Executive Candidate Profile
*The ability to multi-task, with excellent organisational and administrative skills.
*Previous experience of running events both face-to-face and virtually (Zoom or another platform).
*Excellent communication (written and oral) and customer service/relationship skills.
*High standard of presentation and attention to detail is essential.
*Good IT skills, including Word, Excel, PowerPoint. Teams and Zoom would be ideal, although training can be given.
*Ability to work under pressure within tight deadlines.
*Should be organised, professional and methodical.
*Must have previous events experience
*This role requires relevant event experience. With a background in delivering programmes from either a commercial conference company or membership organisation.
Desirable
*Previous experience of drafting conference programmes.
*Previous experience of professional membership associations.
