Job Description:
Personal Assistant
*Job Type: Temporary, Full-time (Hybrid)
*Location: Bolton, Lancashire, BL1 1RU
*Duration: Initial 3 months
*Pay: £16.43 per hour (PAYE)
*Working Hours: 8:30am till 5pm
Bolton Council are seeking two experienced Personal Assistants to provide high-quality executive and administrative support across several directorates within the Council. These roles are crucial for offering essential cover during a period of maternity leave within the Executive Support Team. The successful candidates will be instrumental in maintaining the continuity and efficiency of our executive operations during this transitional period.
Day-to-day of the role:
*Manage complex diary arrangements, coordinate meetings, and prepare necessary documentation.
*Handle inbox management, ensuring timely responses and organisation.
*Deal with sensitive information with a high level of confidentiality and discretion.
*Respond proactively to changing priorities and manage a varied workload across multiple senior stakeholders.
*Track, implement, and progress chase all actions and requests generated from direct work with the Corporate Leadership Team (CLT) and Directorate Leadership Teams (DLTs).
*Prepare and provide briefing notes, presentations, reports, spreadsheets, and other strategic support materials.
*Administer emails on behalf of CLT and DLT(s), formulating routine responses and ensuring follow-up actions meet corporate standards.
*Organise travel arrangements and logistical support for internal and external meetings.
*Act as a first point of contact for high-level enquiries, managing them efficiently and effectively.
Required Skills & Qualifications:
*Proven experience as a Personal Assistant or Executive Assistant at a senior level.
*Strong organisational skills with the ability to handle multiple tasks and maintain high standards under pressure.
*Excellent communication skills and the ability to build rapport quickly.
*High proficiency in managing confidential information and maintaining discretion.
*Ability to adapt to changing environments and work flexibly across different directorates.
*Experience in minute-taking, preparing executive reports, and managing executive communications.
