Facilities Administrator
Salary: £28,000 per annum
Contract: 6-month FTC
Start: Immediate
Location: Maidstone (on-site)
Hours: 8am–5pm, Monday to Friday
Department: Estates / Hard Services
Reports to: Head of Estate Services
Driving: Full UK driving licence required due to rural location
Overview
One of the UK’s most historic visitor attractions is seeking a highly organised Facilities Administrator to support the Estates team during the implementation of a new cloud-based CAFM system.
This role is ideal for someone with strong administrative or coordination experience within estates, facilities, or compliance environments. No data analysis experience is required; this is a hands-on admin, coordination, and compliance-support role.
You will play a key part in maintaining statutory compliance records, ensuring data accuracy, and supporting both reactive and planned maintenance.
Key Responsibilities
*Support the rollout, data migration, and administration of a new cloud-based CAFM system.
*Collect, organise, and maintain compliance documentation, including:
*Gas safety
*Fire safety / fire stopping
*Water hygiene and testing
*Asbestos
*Electrical testing

*Maintain accurate digital and paper-based Estates records.
*Produce clear reports using Excel and other Microsoft Office tools.
*Liaise with internal teams including the Estates Services team and the FM Change Manager.
*Assist in developing an Estates operational procedures manual.
*Support reactive and planned maintenance tasks through accurate data entry and tracking.
*Provide cover for the Estates Services Coordinator when required.
*Ensure deadlines are met and workflows are compliant and well-structured.
Person Specification
Essential
*Strong proficiency in Microsoft Office, especially Excel.
*Excellent organisation skills and high attention to detail.
*Ability to stay calm under pressure and manage multiple priorities.
*Quick learner with the ability to pick up new systems.
*Strong written and verbal communication skills.
*Experience in high-volume administration or coordination roles.
*Able to work independently and collaboratively.
*Full driving licence (rural location).
Desirable
*Experience using CAFM systems (experience using joblogic is a bonus)
*Background in Estates, Facilities Management, Maintenance Administration, or compliance documentation.
