Projects & Operations Assistant Italian speaking
London (Hybrid: remote administrative work + on-site visits across London, with occasional travel)
Full-time, Monday to Friday 9AM-6PM
(Some flexibility required on weekends when and if needed)
Salary: up to £35,000 per annum, depending on experience.
We are looking for a proactive and highly organised Projects and Operations Assistant to support the day-to-day management of projects and operations across our client’s portfolio of high-end retail clients.
The successful candidate will initially support the management of maintenance activities across multiple retail locations, working closely with clients, suppliers, and on-site teams. This role offers excellent exposure to operations, cost control, and project coordination, with strong opportunities for career progression as the company continues to grow.
Key Responsibilities*Support the management and coordination of maintenance and operational works across multiple retail sites
*Act as a key point of contact for clients, suppliers, and internal teams, ensuring clear and professional communication at all times
*Assist the Operations Manager with:
*Weekly planning and coordination of site teams
*Scheduling works and allocating resources
*Support cost control activities, including:
*Tracking and monitoring costs of interventions
*Assisting with cost reporting and job accounting
*Assist with quotations and technical documentation, working closely with the technical team
*Carry out site visits, surveys, and progress checks across London
*Ensure works are delivered on time, within scope, and to the expected quality standards
*Support continuous improvement of operational processes and reporting
Required Skills and Experience*Fluent Italian speaking skills
*Previous work experience involving direct client and supplier interaction
*Strong organisational, problem-solving, and time-management skills
*Solid numerical and cost-management abilities
*Ability to manage multiple tasks and priorities in a fast-paced environment
*Professional, confident, and constructive communication style at all levels
*High attention to detail and a proactive attitude
*Experience in the construction, maintenance, or fit-out sector is a strong advantage
*Reliable, structured, and solution-oriented
*Comfortable working with a demanding, high-end client portfolio
*Able to work independently while collaborating effectively with the wider team
*Keen to grow within the company and take on increasing responsibility
