Contracts Administrator - Facilities and Estates
Temporary Contract: Full-Time, Hybrid Working
Salary: £20 per hour
Location: North London
We are working with a leading UK Renewable Energy organisation that delivers essential services to support sustainable waste handling across north London and beyond. They manage a significant portfolio of operational sites and are committed to high standards of safety, efficiency, and environmental performance as part of the UK’s transition to net-zero.
We are recruiting a detail-oriented Contracts Administrator to join their Facilities and Estates team, overseeing all aspects of contract management to ensure contracts deliver value, meet KPIs, comply with requirements, and support smooth operations-including integration of new energy recovery facilities. You report to the Real Estates Manager and collaborate closely with F&E Supervisors, Procurement, and other departments.
Key Responsibilities
*Oversee full contract lifecycle: initiation, negotiation, performance monitoring, renewal/termination.
*Collaborate with Procurement to develop, negotiate, and align contracts with policies, legal, and industry standards.
*Build and maintain strong vendor/supplier relationships for high-quality, cost-effective delivery.
*Monitor performance against agreed KPIs, service levels, and terms; conduct regular reviews, address issues, create action plans, and track to completion.
*Use D365 for PO generation, incident reporting, servicing/maintenance scheduling, and recording.
*Manage budgets, forecasting, and financial planning for contracted services; identify and deliver cost savings without reducing quality.
*Capture cross-departmental requests/requirements and interface accordingly.
*Ensure commissioned services are safe, cost-effective, high-quality, and achieve intended outcomes.
*Manage operational supplier relationships: drive value, investigate non-compliance, develop and monitor SMARTER improvement plans.
*Oversee specific tasks (e.g., closing out Rentokil recommendations, signing off waste transfer notes and works completion sheets).
*Develop and track KPIs for contracted services; provide performance updates and presentations to leadership.
*Stay current with industry trends and best practices in contract & facilities management.
*Follow the organisation’s contractor management framework.
Qualifications & Skills
*Proven experience in contract management, ideally within facilities/estates.
*Knowledge of procurement legislation, contract compliance, and relevant guidance.
*Strong negotiation, vendor management, and relationship-building skills.
*Solid understanding of legal/regulatory contract requirements.
*Financial acumen with budgeting and cost-control experience.
*Excellent analytical, problem-solving, communication, and interpersonal skills.
*Proficiency in contract management software/tools (D365 experience advantageous).
Desirable
*5+ years’ contract management experience in a multi-functional organisation.
