We’re now looking for a London Office Coordinator to join us on a part-time basis, working 20 hours per week for a permanent contract. This is an on-site role where hybrid or remote working is unavailable.

Your Role
As our London Office Coordinator, you will support the smooth operation of our office in London, specifically focusing on support for our Finance and Operations Team.
Providing administrative support, you will manage day-to-day office functions, whilst also assisting the IT and Facilities Manager with the management of routine systems and processes throughout the office.
You will liaise with the Edinburgh Office Coordinator to ensure consistency, act as the key point of contact for staff, visitors and service providers to the office, and issue access passes and field requests that relate to the working environment.
Additionally, you will:
- Manage inbound calls and the mail
- Process invoices
- Support events within the office
- Act as the office first aider and fire warden (after training)
- Support a safe and organised working environment, managing room and desk bookings
- Help with inductions for new staff and coordinate their IT equipment
- Maintain records of IT equipment and provide laptops and phones as required
About You
To be considered as the London Office Coordinator, you will need:
- Relevant work experience in a similar administration and/or office support role
- Demonstrable IT knowledge and experience using Office 365 (Word, Excel, Outlook, Teams, and SharePoint, etc.)
- To be capable of setting up, implementing, and maintaining office systems
- Strong organisational, prioritisation, and time management skills
- An adaptive and open-minded approach, with the willingness to learn and evolve
- Good written and verbal English communication skills
- Independent and teamworking skills
- Excellent initiative, accuracy and attention to detail
- At a minimum, A-Levels or an equivalent level of education, or learning gained through work experience, short courses or formal training in similar administrative roles
