Urban Spaces is a design-led London estate agency specialising in distinctive homes, warehouse conversions, lofts, and architecturally interesting buildings across the capital. We work with design-conscious buyers, tenants, landlords, and developers who value quality, detail and a more thoughtful approach to property.

We are looking for an organised, capable, and proactive Administrator to play a central role in supporting our sales and lettings teams and keeping the business running smoothly behind the scenes.

This is a hands-on, varied role for someone who enjoys being at the heart of a busy operation, takes pride in doing things properly, and wants to work in a company where standards matter.

The role
You will support both the sales and lettings teams, owning key administrative and operational processes from instruction through to completion or tenancy start.

Sales and marketing support will include:
Onboarding new clients and setting up instructions.
Conducting AML and compliance checks.
Preparing property files and ensuring documentation is accurate and complete.
Booking photographers, floorplans, EPCs and other marketing services.
Co-ordinating surveys, valuations, and access.
Assisting with preparation of properties for launch and marketing.

Lettings administration will include:
Setting up new lettings instructions and landlord files.
Assisting with marketing launches and portal listings.
Supporting referencing, Right to Rent checks, and tenancy set-up.
Liaising with landlords, tenants, and contractors.
Assisting with compliance documentation and file auditing.

General operations support will include:
Maintaining accurate records across CRM and internal systems.
Supporting the wider team with day-to-day operational admin.
Helping improve processes and spotting ways to make things more efficient.

You will be trusted with responsibility, encouraged to use your initiative, and given real exposure to how a modern estate agency operates.

Who we’re looking for
You will have at least two years’ experience in a busy administrative or operations role, ideally within property, legal, or professional services.

You are organised, reliable and comfortable juggling multiple tasks.
You communicate clearly and professionally.
You are IT confident and pick up systems quickly.
You care about accuracy and detail.
You take pride in supporting others and being someone the team can rely on.

This role suits someone who enjoys structure but also likes variety, and who wants to be part of a collaborative, design-led business rather than a corporate call-centre environment.

Working pattern
Based in our Aldgate office on Mondays and Thursdays.
Remote working two days per week.
Some flexibility available for the right candidate.

Hours of business
Monday to Friday. 9am to 5.30pm.
Saturday. 9am to 2pm.
