Job Description:
Job PurposeThe Workplace Experience Specialist delivers exceptional workplace and guest experiences, supporting customers with the services, spaces, and support they need to work effectively. Operating from the One Team Hub and across office floors, this role brings together welcome services, meeting and event support, floor management, workplace operations, logistics, and compliance.
As a central part of the daily customer experience and office productivity, the Specialist helps maintain a safe, compliant, and high-quality environment for all staff, guests, and visitors.
Key ResponsibilitiesGuest Welcome & Support*Greet guests and staff with warmth, professionalism, and prompt service.
*Provide reception welcome services and coordinate visitor arrivals with landlord teams.
*Deliver concierge-style support with strong knowledge of spaces and local area information.
*Anticipate customer needs and go above expectations to deliver outstanding service.
*Support security procedures including visitor access, staff access, and contractor coordination.
Meeting Room & Bookings Support*Coordinate and monitor meeting room and event space bookings.
*Ensure a seamless experience for clients and internal teams.
Event Operations & Support*Provide end-to-end event support including room allocation, layouts, seating and hospitality requirements.
*Manage external visitor flows during events and resolve any issues quickly.
*Prepare pre-event schedules and support central events teams for multi-site activity.
Floor Management & Space Ownership*Carry out daily checks of reception, meeting rooms, client lounges, lobby areas and cloakrooms.
*Log, report and follow up on faults until resolved.
*Act as a central point of contact for services and support.
*Build strong relationships with staff, partners, and service teams.
*Replenish service hubs and manage locker usage.
Workplace Support & Compliance*Support the Workplace Experience Manager/Deputy with facilities tasks and compliance requirements.
*Assist with internal and external audits.
*Complete DSE checks for new joiners.
*Undertake fabric checks, safety checks, asset tagging and Workplace Tracker updates.
*Escort and support landlord or PwC contractors.
*Ensure sensors, screens, and workplace technology are operational during floor walks.
*Help staff navigate space usage and workplace support processes.
Courier, Mail, Parcel & Print Services*Process courier requests, IT equipment dispatch, inbound deliveries and tracked mail.
*Support print requests, finishing, quality control, and secure handling of printed materials (role-dependent).
One Team Collaboration*Work closely with other One Team service lines to maintain a unified, consistent service.
*Complete "ten-second tasks" to maintain workplace standards and support colleagues.
Skills & Experience*Experience in workplace services, facilities, hospitality, or front-of-house roles.
*Strong customer service and communication skills.
*Confident using Microsoft Teams, MS Office, ServiceNow, EMS and workplace technologies.
*Able to support AV, IT equipment and office peripherals.
*Highly organised, adaptable and comfortable with both planned and reactive tasks.
*Quick to respond to incidents, queries and operational issues.
Health & Safety*Report any risks, issues or equipment faults immediately.
*Use all equipment and PPE correctly as trained.
*Follow SPS policies and raise training needs with your line manager.
