Job Specification: Sales / Business Administrator (Maternity Cover – 6 Months)

Hours: 30–40 hours per week (flexible, depending on candidate availability)

Contract: Fixed-term, Maternity Cover

Location: Leyland

Start Date: ASAP

Overview


We are seeking an organised, proactive and detail-focused Sales/Business Administrator to support the internal sales office for a fixed 6-month maternity cover period. This role is fully office-based and focuses on handling inbound enquiries and administrative support for the sales process. There is no cold calling or external selling involved.


The ideal candidate will be confident managing customer communications, processing sales orders, preparing quotations, and ensuring accurate invoicing. Strong administrative skills and excellent attention to detail are essential.

Key Responsibilities


Sales Administration
*Handle and respond to inbound sales enquiries via phone and email.
*Prepare and issue sales quotations in a timely and accurate manner.
*Process sales orders, ensuring all information is complete and correct.
*Maintain internal CRM or order management systems with up-to-date customer and order details.
Order & Invoice Processing
*Generate and issue sales invoices in line with company procedures.
*Liaise with finance or accounts teams regarding queries on orders or invoicing.
*Track and follow up on outstanding documentation or order requirements.
Customer Support
*Provide high-quality customer service as the first point of contact for internal sales queries.
*Support customers with product, pricing, and availability information.
*Build positive relationships with customers and internal departments.
General Office Administration
*Support the sales team with administrative tasks such as filing, data entry, and preparing documents.
*Maintain well-organised electronic and paper records.
*Assist with reporting, sales summaries, or operational updates as required.
Skills & Experience Required
*Previous experience in sales administration, order processing or business administration.
*Strong IT skills, including Microsoft Office and CRM/order processing systems.
*Excellent written and verbal communication skills.
*High level of accuracy and attention to detail.
*Ability to manage multiple tasks and prioritise workload effectively.
*Confident, professional and customer-focused approach.
*Experience within a sales office, manufacturing, distribution, or service-led environment.
*Knowledge of invoicing systems or accounting software.
