Executive PA
*Job Type: Temporary, Full-time
*Duration: Until end of June
*Pay Rate: £18.36 - £19.81 per hour PAYE
*Location: Bury Council, BL9 0EJ
*Method: Office-based (3-5 days per week depending on diary commitments)
Bury Council are seeking an experienced Executive PA to support Directors within the Children & Young People department. This role requires a candidate who is comfortable working in a fast-paced environment and has at least 2 years of experience as a PA at a senior level. The ideal candidate will be highly organised, a forward planner, and proficient in diary and inbox management.
Day-to-day of the role:
*Provide comprehensive and confidential personal assistant support to Executive Directors.
*Familiarise with the Executive Directors’ commitments, priorities, and working practices to manage less important issues effectively.
*Liaise between the Chief Executive, Executive Directors, and Cabinet Members.
*Coordinate project work to support the delivery of high-quality services.
*Communicate instructions from the Executive Director to staff accurately and professionally.
*Manage the Executive Director’s inbox and diary commitments, ensuring efficient scheduling and preparation.
*Draft correspondence including responses to Councillors and MPs for Executive Director approval.
*Maintain an electronic bring forward system and manage document production using Microsoft Office suite.
*Arrange and manage meetings, including room bookings, equipment setup, and attendee notifications.
*Support in the production of meeting agendas, circulation of papers, and minute-taking.
*Arrange travel and accommodation as required.
*Handle internal and external enquiries, ensuring informed responses by gathering maximum information.
*Promote and maximise the use of Microsoft 365 functions within the team.
*Maintain up-to-date knowledge of relevant technology and develop efficient electronic filing systems.
*Work collaboratively across departments and provide cover for other team members as needed.
*Support corporate priorities and initiatives, including providing administrative support during emergencies and handling complaints and enquiries effectively.
Required Skills & Qualifications:
*Minimum of 2 years experience as a PA at a senior level.
*Strong organisational and forward planning skills.
*Proficient in Microsoft Office and Microsoft 365, including Outlook, Teams, Excel, Word, and PowerPoint.
*Excellent communication skills and the ability to handle confidential information with discretion.
*Ability to work independently and as part of a team.
*Experience in handling complex diary and inbox management.
