Office Manager
Location: Ipswich
Salary: £30,000 – £40,000
Reed in Ipswich are delighted to be supporting our client seeking an experienced, commercially driven Office Manager to support the Directors in the day-to-day running and continued growth of the business.
This is a varied and hands-on role combining business development, marketing, HR support, health & safety, compliance, and customer service. You will play a key role in driving revenue, maintaining service quality, and supporting overall business performance.
Key Responsibilities
Business Operations & Support
*Support Directors with the smooth running of the business
*Assist with business development and marketing activities
*Maintain high levels of customer service and operational efficiency
Health, Safety & Compliance
*Proactively manage all health, safety, and environmental documentation
*Coordinate site inductions and onboarding processes
*Prepare and distribute RAMS, Toolbox Talks, and HSE documentation
*Maintain compliance records and document registers
*Support ISO audits and ensure audit readiness
*Oversee vehicle documentation and compliance
Subcontractor & Training Coordination
*Manage subcontractor competencies, training records, and right-to-work checks
HR Support
*Assist with recruitment and onboarding processes
*Prepare contracts, offer letters, and employee records
*Support return-to-work interviews, appraisals, and absence management
*Handle confidential information with professionalism and discretion
Marketing & Digital Content
*Update and maintain company website content
*Create and manage social media and digital marketing content
Administrative Support
Provide cover for general administration duties, including:
*Answering calls and managing inboxes
*Preparing quotations
*Creating project folders
*Processing expense receipts
About You
To be successful in this role, you will have:
*Proven experience as an Office Manager, Senior Administrator, or Office Coordinator
*Experience working in a fast-paced environment
*Strong knowledge of health & safety and compliance processes
*Confidence communicating with managers, engineers, and subcontractors
*Excellent IT skills, including Microsoft Office
*Experience supporting audits and maintaining documentation systems
*Strong organisational skills with the ability to prioritise and meet deadlines
*A proactive, "can-do" attitude and excellent attention to detail
*The ability to work independently and remain calm under pressure
