Job Description:
Fleet Assistant
*Location: Chelmsford
*Job Type: Full-time
We are seeking a dedicated Fleet Assistant to support the Fleet Manager in all operational aspects of the company fleet at our head office in Chelmsford. This role involves maintaining best practices in logistics strategy, policies, processes, and procedures, and deputising in the absence of the Fleet Manager.
Day-to-day of the role:
*Assist the Fleet Manager in ensuring best practice logistics principles, policies, and processes across the organisation are maintained.
*Recommend improvements to existing logistics systems and procedures.
*Manage servicing and repair requests by liaising with leasing providers.
*Ensure all vehicles are covered under the company’s insurance policy and manage temporary vehicle cover.
*Order and maintain fuel cards, ensuring records and PIN numbers are up-to-date and communicated to branches.
*Collate and maintain records of private mileage and prepare monthly reports for payroll deductions.
*Monitor fuel usage, prepare quarterly reports for directors, and maintain compliance with the Energy Savings Opportunity Scheme (ESOS).
*Ensure all company vehicles are registered for the London Congestion Zone and Dartford Bridge crossing.
*Manage driver training records and ensure all new drivers complete mandatory training.
*Investigate road traffic accidents and manage reports and evidence for insurers.
*Conduct driving licence checks and maintain records on the company’s telematics system.
*Investigate and manage responses to Penalty Charge Notices and Notices of Intended Prosecution.
*Issue fleet-related communications and updates to drivers.
*Conduct quarterly audits of driver behaviour and ensure compliance with health and safety standards.
Required Skills & Qualifications:
*Proven experience in fleet management or a similar role.
*Strong understanding of logistics and fleet operations.
*Excellent organisational and communication skills.
*Ability to work independently and as part of a team.
*Proficiency in using fleet management software and systems.
*Knowledge of health and safety regulations.
