Location: Chelmsford (Ford End)

Key ResponsibilitiesAs an IFA Administrator, you will be responsible for:
Client Servicing & Administration
*Processing client instructions accurately and efficiently, including non-advised transactions
*Handling day-to-day client queries in a professional and timely manner
*Preparing and issuing client communications
*Maintaining accurate and up-to-date client records
New Business Processing
*Preparing and submitting new business applications
*Ensuring all documentation is complete and compliant
*Tracking cases through to completion and resolving issues
*Liaising with providers and platforms
*Keeping advisers and clients updated on progress
Provider & Platform Liaison
*Obtaining policy information, valuations, and illustrations
*Chasing providers for updates and outstanding requirements
*Managing platform transactions and queries
*Building and maintaining strong working relationships with providers
Review & Ongoing Support
*Preparing annual review packs and documentation
*Managing review schedules and coordinating diaries
*Ensuring data accuracy for client reviews
*Supporting the ongoing service proposition
Compliance & File Management
*Ensuring all client files meet regulatory and internal standards
*Maintaining audit-ready records
*Identifying and escalating any inconsistencies or missing information
*Supporting compliance checks and AML processes
What We’re Looking For*Previous experience in an IFA administration role or financial services environment
*Strong attention to detail and organisational skills
*Excellent communication skills, both written and verbal
*A proactive and methodical approach to work
*Good understanding of compliance and FCA regulations
*Ability to manage multiple tasks and work to deadlines
*A positive, team-focused attitude
Desirable Experience*Experience with financial platforms such as Quilter, Transact, or similar
*Knowledge of pensions, investments, and protection products
*Familiarity with CRM and back-office systems
*Understanding of AML processes and regulatory requirements
