Position: Assistant Building Manager
We are a UK-wide business specialising in commercial real estate, providing luxury workspaces to businesses. This is a fantastic opportunity to join a growing team, where your role will be pivotal in ensuring the success of the building and the retention of our clients. We are looking for someone passionate about customer service with experience in client-facing roles. Candidates with team supervision or management experience in retail, leisure, BTR, F&B, or similar sectors are also welcome to apply.
Key Responsibilities:
*Oversee and assist the receptionist (CSR) with daily tasks such as check-ins, stock takes, and meeting room management
*Support the Building Manager with client requests, H&S documentation, ECG information, invoicing, and ensuring smooth operation of the centre
*Maintain high standards of presentation and customer service throughout the centre
*Assist with client move-ins and move-outs, including welcome meetings, office setup, and inventories
*Liaise with building management to resolve any ongoing issues on the floor or building-wide
*Request documents from the Building Manager monthly to keep records up to date
*Send monthly audits to clients
*Complete billing on the 1st of each month, including pre-billing reports
*Set up new virtual offices, manage renewals, and handle client queries
*Monitor unpaid invoices via debtors reports and follow up with clients to arrange payments
*Support ACSM and CSR in tracking and uploading receipts from company card
*Assist with monthly centre events and liaise with local businesses for pop-up events (e.g., Flight Club, Yakinori, Par59, Rudi’s Pizza)
*Train CSR on all systems, including OfficeRnD and Twinndata, as well as IT knowledge and meeting room AV equipment
*Coordinate with contractors for deep cleans and decorations of vacant offices
*Ensure all Health and Safety policies are followed
