Job Description:
Reception/Clerical Administrator
*Hourly Rate: £14.82
*Location: Office-based
*Job Type: Temporary (Full-time & Part-time positions available)
We are currently seeking two experienced Reception/Clerical Administrators to join our Family Hubs. One position is full-time, and the second is part-time. This role involves providing high-quality customer service, greeting and welcoming families and professionals both face-to-face and by telephone, and offering general and complex administrative support.
Day-to-day of the role:
*Ensure all visitors are welcomed in a positive, respectful, and responsive manner.
*Provide high-quality customer-focused reception for all visitors and enquiries via telephone and email.
*Manage procurement within policies and procedures, maintaining accurate records of orders, purchases, deliveries, and payments.
*Prepare invoices, ensure payments are reconciled, and monies are regularly banked.
*Manage and monitor petty cash in line with financial regulations and procedures.
*Facilitate meetings as required, including producing minutes, preparing agendas, and other documentation.
*Responsible for meeting room bookings, preparation, clearing, and security.
*Sort and distribute incoming and outgoing post, maintaining appropriate records.
*Monitor and maintain stock levels.
*Set up and maintain filing structures, both manual and electronic.
*Carry out computer work including internet/email, and prepare and produce letters/leaflets to service users and other agencies.
Required Skills & Qualifications:
*Must hold 4 GCSE’s (Grades A-C) or equivalent, or have substantial relevant experience.
*Excellent customer service and reception skills.
*Strong administrative and organisational skills.
*Proficiency in using computers, including internet and email.
*Ability to handle multiple tasks and maintain attention to detail.
*Must be able to provide references and undergo a DBS check.
