Trade Mark Formalities Assistant – London
We are working with a highly regarded international intellectual property firm with a strong reputation in the trade mark space. The firm acts for a broad range of high-profile clients, managing substantial global trade mark portfolios across multiple sectors. Known for its collaborative culture and high-quality work, the firm offers excellent training, support and long-term career development opportunities.
This opportunity sits within a busy and well-established Trade Mark Formalities team, supporting attorneys and ensuring the smooth running of client portfolios. The role offers exposure to a wide variety of UK and international trade mark work, with the chance to take ownership of key processes including renewals and records management. While the role is London-based, there is flexibility for candidates based in other UK offices.
Responsibilities:
*Maintaining and updating trade mark records, including accurate data entry and deadline tracking
*Monitoring deadlines and producing diary reports for the wider team
*Handling UK and international trade mark and design formalities
*Preparing and filing applications, renewals, assignments and recordals
*Using official databases such as UKIPO and WIPO for correspondence and filings
*Reporting on new filings, publications and registrations to clients
*Liaising with overseas agents, including preparing cost estimates and documentation
*Supporting and managing trade mark renewals in the UK and internationally
*Managing your own workload and deadline diary
*Opening new matters and assisting with conflict checks
*Ensuring document management systems are consistently updated
Requirements:
*Minimum of 1 years’ experience in trade mark formalities or a similar IP administrative role
*Strong attention to detail and a high level of accuracy
*Proactive, organised and able to manage multiple priorities
*Confident communication skills, both written and verbal
*Good working knowledge of Microsoft Office
