Receptionist
About the Organisation
The organisation provides specialist professional services across a range of areas. Its clients include private individuals, businesses, trusts, charities, and other organisations, all of whom rely on a reputation for delivering personalised service and high-quality expertise.
The Receptionist works as part of a team alongside another Receptionist and an Office Assistant, reporting to the Administration Director. The department is an integral part of the Operations Team, offering internal support services.
About the Role
Hours of work:
Reception must be covered from 8:30 AM to 6:00 PM, Monday to Friday.
Receptionists work flexibly, alternating weekly between:
*8:30 AM – 4:30 PM
*10:00 AM – 6:00 PM
Some occasional out-of-hours work may be required for events; this will be agreed in advance and paid as overtime.
Dress code: Smart business attire.

*Accuracy: Strong attention to detail and written communication
*Teamwork: Reliable and supportive team member
*Discretion:Maintains confidentiality at all times
*IT skills: Competent in standard office software; able to learn internal systems
Key Responsibilities
Reception Area
*Open and close reception
*Maintain a tidy and organised front-of-house environment
*Ensure client areas are presentable
*Monitor and restock supplies (e.g. stationery, umbrellas)
Client Interaction
*Meet and greet visitors
*Notify relevant staff of arrivals
*Offer refreshments and coordinate with support staff
*Keep clients informed of any delays
*Handle incoming telephone calls
Meeting Rooms
*Prepare and maintain meeting rooms
*Manage room booking queries
*Set up materials (e.g. stationery, presentation tools)
*Assist with audio-visual setup
Post Handling
*Scan and distribute incoming post
*Redirect unidentified correspondence appropriately
*Support physical mail distribution when required
Ad Hoc Duties
*Update external call-handling service with staff availability
*Manage walk-in enquiries
*Restock shared areas
*Forward enquiries to appropriate staff
*Report facilities issues
*Provide support to wider administrative team
Administrative Duties
*Liaise with cleaning and maintenance providers
*Order and manage stationery supplies
*Coordinate with external contractors and technicians
*Provide occasional support to compliance-related tasks
