Job Description:
Service & Parts Coordinator
*Location: Mildenhall
*Job Type: Full-time
We are seeking a Service & Parts Coordinator to provide essential administrative and service support within the Aftersales team at our Mildenhall branch. This role is crucial for ensuring the smooth operation of service processes, supporting both field engineers and internal departments, and maintaining the high professional standards of our organisation.
Day-to-day of the role:
*Act as the primary support point of contact for Aftersales service and parts via phone and email.
*Conduct follow-up calls with customers after service repairs or the delivery of new or used machines.
*Monitor EVI Telematics and oil analysis reports and communicate findings to end users.
*Provide parts support to the service department, including ordering, receiving, and shipping parts to customer sites.
*Create, update, and maintain accurate job records in IBCOS GOLD.
*Ensure parts have been correctly allocated or returned from service jobs prior to invoicing.
*Assist the Controller with engineer time approvals and labour entries.
*Arrange transport for machine deliveries and schedule monthly inspections for the demonstration machine fleet.
*Print build sheets, create machine tags, and coordinate the PDI process.
*Manage tagging and documentation for new machines, stock, and demo fleet.
*Support ISO compliance administration and maintain up-to-date Work in Progress (WIP) records.
*Support the Controller in reviewing engineer service reports to identify upsell opportunities.
*Provide holiday cover for the Controller and Parts Advisor as required.
Required Skills & Qualifications:
*Proficiency in IBCOS GOLD, Microsoft Office 365, Check Proof, and EVI systems.
*Strong administrative, organisational, and time management skills.
*Confident and clear communication skills with strong customer-facing capability.
*High attention to detail, particularly in job records and financial documentation.
*Working knowledge of machine servicing, warranty processes, and spare parts handling.
*Ability to prioritise and multitask in a fast-paced environment.
*Proactive, solution-focused approach to problem-solving.
*Experience coordinating with service engineers and internal departments.
