Surveying Services Officer
Up to £31,500 pa
Permanent, Full Time, Hybrid
We’re looking for a Surveying Services Officer to provide administrative, coordination, and scheduling support to the IHMS Surveying Services team.
This role will assist in the support of effective delivery of surveying inspections, repairs, and follow-on works by ensuring activities are planned efficiently, information is accurately maintained, and customers and stakeholders are kept informed throughout the process.
Working closely with surveyors, managers, contractors, and internal teams, the role plays a key part in delivering a customer-focused, compliant, and solutions-based surveying service.

Key Responsibilities
· Coordinate and schedule surveying inspections, repairs, and follow-on works using job management systems.
· Provide day-to-day administrative and planning support to surveyors and managers.
· Act as a key point of contact for customers, contractors, and internal colleagues, ensuring clear and timely communication.
· Respond to customer queries, service escalations, and complaints, supporting investigations and positive resolutions.
· Review and action out-of-hours repair reports, arranging follow-on works and updating customers accordingly.
· Maintain accurate records across systems, ensuring data quality and GDPR compliance.
· Coordinate and manage communal keys and fobs, including record-keeping and stock control.
· Support health, safety, environmental, and quality requirements across surveying activities.
· Identify service issues, trends, and opportunities for improvement and escalate insights to management.
· Support wider IHMS and business activities, including site visits and customer consultations where required.

Person Specification
· Experience in an administrative, scheduling, or coordination role within a busy service environment.
· Strong IT capability, including Microsoft Office 365 and planning or job management systems.
· Ability to prioritise workloads, manage competing demands, and meet service deadlines.
· Excellent written and verbal communication skills.
· Proven customer-focused approach with the ability to handle challenging conversations professionally.
· Knowledge of surveying, property maintenance, housing, or construction environments.
· Understanding of landlord repair obligations and health and safety requirements.
· Awareness of service improvement methods and use of data to support performance.
· Educated to GCSE level or equivalent.
