Job Description:
Role: Car Fleet Administrator
Location: Watford
Reports to: HR Service Delivery Manager
Department: HR
Purpose
To provide a customer-focused, first-line fleet management service and support the effective delivery and administration of company car and fleet services across the organisation.
Key Responsibilities
*Act as the first point of contact for employee queries relating to company cars, car allowance, maintenance, servicing, and driver policies via a helpdesk, meeting agreed SLAs
*Manage fleet-related processes including new starters, vehicle orders, lease-end renewals, reallocation, fuel cards, fines, congestion charges, and risk management
*Maintain accurate fleet and vehicle records across multiple systems to ensure legal and policy compliance, including grey fleet requirements
*Prepare and communicate accurate, timely fleet reports using multiple data sources
*Work closely with internal teams including HR Service Delivery, Payroll, Pensions, Occupational Health, Logistics, Resourcing, and Reward & Benefits
*Liaise with external suppliers such as fleet providers, accident management companies, and vehicle repairers
*Support continuous improvement initiatives to streamline fleet processes and improve operational efficiency
*Participate in projects and ad-hoc fleet activities as required
What You’ll Bring
*Ideally at least 1 year’s experience in a company car or fleet management environment
*Strong focus on query resolution, process administration, and adherence to policies
*Working knowledge of fleet management systems and case management systems (desirable)
*Ability to work in a fast-paced environment with changing priorities
*Proficient in Microsoft Office, particularly Outlook, Word, and Excel
