Job Description:
We’re delighted to be supporting a leading global motor vehicle manufacturing organisation based in Kirkby, who are seeking an experienced Vehicle Administrator to join their growing finance team to support the operational and financial coordination of vehicle orders, registrations and deliveries.
Supporting customers across the UK with a growing range of electric and diesel commercial vehicles, they work closely with dealers, fleet operators and business customers to deliver efficient, reliable and sustainable transport solutions.
Salary: £30,000 - £35,000
Role Purpose -
The Senior Vehicle Administrator plays a key role in ensuring the smooth administration and progression of vehicle orders from factory allocation through to customer delivery and invoicing.
Working closely with Sales, Logistics, Finance and Dealer partners, the role ensures vehicles are processed accurately, delivered on time and fully compliant with internal and regulatory requirements.
Reporting to the Finance Director, this role requires strong organisational skills, attention to detail and the ability to coordinate multiple stakeholders across the vehicle supply chain.
Key Responsibilities -
Vehicle Order & Supply Management
*Manage the progression of vehicle orders from factory allocation through to delivery.
*Maintain accurate order tracking and status updates across internal systems.
*Liaise with the manufacturer, logistics providers and internal teams to monitor vehicle availability and shipment schedules.
*Coordinate delivery timelines to ensure vehicles are supplied in line with customer and dealer expectations.
Registration & Compliance
*Manage vehicle registration processes including DVLA submissions and documentation.
*Ensure all vehicles meet regulatory and compliance requirements prior to delivery.
*Maintain accurate vehicle records including VIN tracking, registration documentation and certification.
Sales & Dealer Support
*Work closely with the Sales team to ensure vehicle orders are processed efficiently and delivered within agreed timelines.
*Provide regular updates on vehicle availability, delivery schedules and order status.
*Support dealer partners with order queries, delivery coordination and documentation requirements.
Finance & Invoicing Coordination
*Work with the Finance team to ensure accurate invoicing and financial processing of vehicle transactions.
*Ensure vehicle costings, pricing and documentation align with approved commercial terms.
*Support reconciliation of vehicle stock and order records.
Reporting & Administration
*Maintain accurate vehicle pipeline and stock reports.
*Track order progression and highlight potential delays or supply issues.
*Ensure all documentation and records are maintained in line with internal governance standards.
Skills & Experience Required -
*Experience in vehicle administration, vehicle progressor, stock control or automotive operations roles.
*Strong organisational and coordination skills.
*High attention to detail with accurate data management capability.
*Ability to manage multiple priorities in a fast-paced environment.
*Strong communication skills with both internal teams and external partners.
*Highly organised and detail oriented.
