Our client is a highly respected private ophthalmic clinic in London, led by a renowned consultant specialist known for providing exceptional care for patients from the UK and abroad.
About the role
This is a fast-paced, high-energy environment where no two days look the same. You could be preparing refreshments for a patient one moment and processing complex medical paperwork the next; the ability to shift gears, stay composed, and juggle multiple priorities simultaneously isn’t just helpful, it’s essential.
As the face of the clinic, you will be the first point of contact for our patients and visitors. We work with a number of high-profile individuals, and maintaining an impeccable standard of professionalism and discretion at all times is a core expectation of this role.
This is a 100% on-site position. You will thrive in face-to-face interactions and be equally polished on the phone and over email. If you love being present and engaged, and are at your best when surrounded by people - this is the role for you.
What you’ll be doing
*Welcoming patients and visitors warmly and professionally, delivering a concierge-level experience from the moment they arrive
*Managing the reception desk and waiting area to keep everything running smoothly and looking its best
*Handling a busy mix of incoming calls, emails, and in-person enquiries
*Booking, confirming and amending appointments, coordinating across the clinical team
*Checking patients in and out, ensuring all forms, consents and administrative details are completed accurately
*Taking payments and providing information on pricing and finance options (full training provided)
*Supporting patient follow-up communication and discussing next steps, including available finance plans
*Assisting with general admin
*Maintaining patient confidentiality in full compliance with clinic policy at all times
*Working closely with the wider clinical and trials team to ensure a seamless patient journey
What we’re looking for
Essential:
*Proven experience in a front-of-house, receptionist or customer-facing role in a PRIVATE HEALTHCARE ENVIRONMENT
*Outstanding communication skills; confident face-to-face, over the phone, and in writing
*A natural ability to multitask and stay calm under pressure in a very busy environment
*Strong attention to detail, particularly when handling patient and appointment information
*Excellent personal presentation with a professional, discreet and reliable approach
*Comfortable using IT systems, booking software, email and MS Office / Google Suite
*A warm, reassuring manner with a genuine passion for delivering great patient care
Desirable:
*Experience in a ophthalmology or similar clinical setting
*Background in a commercial or customer-focused role where patient/client conversions were part of the job
*Familiarity with handling payments and discussing finance options (training will be provided)
Working hours
Monday to Friday, full-time. Rotating shifts across 08:00-17:00, 09:00-18:00 and 10:00-19:00. Occasional flexibility may be required to support evening clinics. Any additional hours are compensated with time off in lieu in line with clinic policy.
