Job Description:
Our client is looking for a Scheduler to support their service desk operation by identifying, managing, and invoicing chargeable reactive and planned (PPM) works. This role plays a key part in ensuring accurate quoting, billing, ordering of parts, and reporting, while delivering a high level of customer service and meeting contractual SLAs.
The successful candidate will work closely with engineers, subcontractors, suppliers, and internal teams and will act as an ambassador for the business at all times.
Key Responsibilities
- Chargeable Works, Quoting & Invoicing
- Identify chargeable reactive and PPM work through the call verification process.
- Prepare and issue customer quotes, managing the JS34 process within Joblogic.
- Invoice completed works accurately and in a timely manner via Joblogic.
- Resolve invoice and billing queries efficiently.
- Request purchase orders for completed works where these have not yet been provided.
- Attend monthly review meetings for chargeable works.
- Orders, Parts & Suppliers
- Raise purchase orders for subcontractors and third-party suppliers as required.
- Order parts and equipment requested by engineers to complete fault calls.
- Allocate purchase orders to jobs as they are received and update systems accordingly.
- Raise orders for third-party suppliers, support agreements, and specialist subcontractors.
- Systems, Reporting & Administration
- Update Joblogic with parts information, job status updates, and detailed notes.
- Produce weekly and monthly client dashboards, including chargeable elements.
- Create and maintain customer dashboards with a focus on chargeable activity.
- Customer & Internal Support
- Handle customer queries via telephone and email in line with contractual SLAs.
- Provide support to Customer Service Desk Coordinators.
- Respond promptly to internal emails and operational requests.
- Complete any additional duties requested by the line manager to support the smooth operation of the service desk.
- Carry out all duties professionally, promptly, and efficiently.
- Act as an ambassador for the company at all times.
Person Specification / Experience Required
- Proven experience in quoting, invoicing, and ordering parts.
- Experience in an accounting support, billing, or service administration role.
- Strong business administration experience.
- Excellent verbal and written communication skills.
- Good working knowledge of Microsoft Office, particularly Excel.
- Strong organisational and time management skills.
- Ability to work under pressure and meet customer SLAs.
- Ability to prioritise workload, multitask, and remain calm in a fast-paced environment.
- Strong customer service focus.
- Knowledge of UK geography.
- Experience using Joblogic or a similar service management system.
- Experience working within a service desk, facilities management, or engineering environment.
